Two-step approval of expenses

Set up an approval process for expenses to promote responsible spending.

How does it work?

As an Admin, you can assign Verifiers for your Employees. This allows the assigned verifiers to verify expenses and claims before their final approval. Expenses and claims can be verified both in the app and in the Hub, regardless of role.

Who can be a Verifier?

Anyone you choose can be a Verifier. They might be department heads, project leads, team leaders, managers etc. 

Approve versus verify

Verifying is the first step in the approval process and the verification is often given by a team lead etc. The expense is then finally approved for bookkeeping by an Admin. Anyone who is an Admin or Bookkeeper can approve expenses.

How to set and remove Verifiers?

Set Verifiers for Employees like this:

  1. In the Hub, under the Users page, open the user's profile.
  2. Go to the Verification tab.
  3. Add users whose expenses this user can verify, OR add users who can verify this user's expenses.
  4. Remove verifiers by clicking on the trash can icon next to the user's name.

How to verify expenses

The expenses that are waiting to be verified will appear on the app's home screen under Expenses to verify. This will work as a to-do list for you. They can be modified before being verified or rejected. Verify all expenses at the same time by clicking Verify All


Do you want to verify expenses in the Hub?
Simply log in by clicking on the login-link located on our Home page or by using the login-link provided here. Navigate to the review page, select or open the expenses and click Verify!

How to approve expenses in the Hub:

  1. Under Expenses and Submitted, you can approve and reject expenses. 
  2. Approve expenses by ticking the box to the left of the expense, or select all expenses by ticking All at the top.
  3. Click Approve selected at the top. 
  4. To reject expenses, open the expense in question and click Reject.

When should I reject an expense?

If necessary information like a receipt is missing or is incorrect, you can reject the expense which will send it back to the Employee's App, giving them a chance to modify the expense.
