How to create flexible exports for reimbursements, bookkeeping, and Incomes register reports in the Zevoy Hub.

Start by making sure you have filled in all necessary prerequisites. Further instructions on how to set up claims can be found here.

Now, make sure your claims are approved.

  1. Go to the Claims page in the Hub.

  2. Under Submitted you'll find the claims that need reviewing. Edit the claims if needed by clicking Edit. Please note that an approved claim can no longer be edited.

  3. Approve your submitted claims.

  4. Now you may create an export queue for yourself. Select the items you wish to mark for export under Approved and click Move to export queue. Selecting items will reveal the toolbar. The export queue will help you keep track of which items are marked as ok for export, and makes reviewing your items throughout the month easier.

  5. Now you're ready to create exports! Under Export queue, select all claims or select the ones you wish to export, and options for exporting will appear in the toolbar.

  • Revise - move the selected items back to approved.

  • Move to exported - don't want to generate any exports but wish to move the items to Exported? Choose Move to exported.

  • Preview - generate previews and take a look at the file before finally exporting. This action won't change the export status of the items.

  • Export - this action allows you to create any export you wish: a payment, bookkeeping, or Incomes register export.

    • The payment export will generate a XML file that can can be used to issue out reimbursements to your employees. It's a standardized SEPA payment file and contains one payment per employee with the total amount owed from all claims exported. A PDF file is also generated and with the help of this payments can be made manually.

    • The bookkeeping export is generated based on what you've selected as your template. More on setting up claims exports here. Two separate CSV files will be generated for your Per diem and Mileage claims. A PDF file is also generated. The bookkeeping file cannot be used to issue out payments.

    • The Incomes register export will send a report directly to the target system via a direct integration. More on exporting to the Incomer register here.

    • Run all of the above will run all actions described above. The selected claims will automatically be moved to Exported if this action is chosen.

The chosen files will be automatically downloaded.

The Exported column will help you keep track of which exports have been created. A green checkmark means that the export was successful. A blue one means that the export is still processing. Please note that for Incomes register exports this might take up to a few minutes. Red means that the export has failed, clicking it will give you more information on the failure.


Previous exports can be found under Export history. Here you can re-download export files if needed and check which items were included in which export.
